Privacy Policy — ReplyCalmly

Last updated: July 27, 2026

ReplyCalmly ("we", "our", or "us") provides tools and a documentation system for people navigating high-conflict co-parenting. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

By using ReplyCalmly, you agree to the practices described here. If you don't agree with this policy, please don't use the service.

1. Information We Collect

We collect only what is needed to operate the service and improve your experience.

  • Information you provide: text you type into our tools (for example, a draft response or notes on a screenshot), email addresses you submit, contact form messages, and any files or links you choose to attach.
  • Account and purchase details: if you buy the Documentation System, limited billing information is handled by our payment processor. We do not see or store full payment card details.
  • Automatic technical data: standard server logs (IP address, browser type, timestamps), device information, and usage events that help us understand how the tools are used.
  • Screenshots and uploaded content: some tools process images locally in your browser. Where we do receive content (for example, an AI-assisted response request), it is used only to generate your result and is not used to build a public profile of you.

2. How We Use Your Information

  • To provide and operate the tools and documentation system.
  • To improve the quality, reliability, and usability of our services.
  • To respond to support requests and contact form submissions.
  • To detect, prevent, and address abuse, fraud, or security issues.
  • To meet legal obligations when required.

3. We Do Not Sell Your Personal Data

We do not sell, rent, or trade your personal information to third parties for their marketing. We also don't build advertising profiles based on the sensitive content you enter into our tools.

4. Third-Party Services

We use a small number of trusted providers to run the service. Each is bound by its own terms and privacy policies:

  • Hosting and database: to securely store submissions such as contact form messages.
  • Payment processing: for purchases related to the Documentation System.
  • Email delivery: to send receipts, password-related messages, or reply to support requests.
  • Data export: if you export your documentation data (e.g., CSV or PDF), the exported file is stored locally on your device. We do not retain copies of exported files.
  • AI processing: drafts generated through AI-assisted features may be sent to a third-party model provider to return a response. We minimize what is sent and do not include your identity.
  • Analytics: privacy-conscious analytics may be used to understand aggregate usage. This does not include the contents of your documentation entries.

5. Cookies

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the site is used. You can control cookies through your browser settings. Disabling some cookies may limit certain features.

6. Data Retention

We keep information only as long as it is needed to provide the service or meet legal obligations. You can request deletion of your information by contacting us at the address below.

7. Security

We apply reasonable technical and organizational safeguards to protect your information, including encryption in transit and access controls. No system is perfectly secure, and we can't guarantee absolute security — but we take this responsibility seriously.

8. Your Choices

  • You can stop using the service at any time.
  • You can ask us to access, correct, or delete information associated with you.
  • You can opt out of non-essential emails using the unsubscribe link in any message we send.

9. Children

ReplyCalmly is intended for adults. We don't knowingly collect personal information from children. If you believe a child has provided us with information, please contact us and we'll remove it.

9a. New Normal Data

If you use the New Normal feature within the Documentation System, you may enter information about your child(ren) — such as favorite foods, activities, friends, teachers, milestones, or other personal details you learn from them.

This information is:

  • Entered voluntarily by you, the account holder. We do not collect any information directly from a child, and this feature is not intended for use by children themselves.
  • Used solely to help you maintain your own personal record within your account.
  • Never used for advertising or marketing purposes, and never shared with third-party analytics or advertising services (including Google Analytics, Meta/Facebook, or Google Ads).
  • Not included when you share your account with an attorney via the read-only link, unless you separately choose to include it.
  • Stored with the same security protections as the rest of your Documentation System data.

You can edit or delete New Normal entries at any time from within your account.

10. Changes to This Policy

We may update this policy from time to time. When we do, we'll update the "Last updated" date at the top. If the changes are significant, we'll make a reasonable effort to notify you.
